The short version

We collect the details you give us when you enquire, plus standard analytics about how the site is used. We use that to reply to you and to improve the site. We don't sell your data, we don't share it for advertising, and you can ask us to delete it at any time by emailing info@scalixdigital.com.

This website, scalixdigital.com, is operated by [scalixdigital] ("Scalix Digital", "we", "us", "our"), a digital agency providing website design and development, brand identity, SEO, AI and automation, performance marketing, conversion optimization and digital marketing services.

For the purposes of applicable data protection law, Scalix Digital is the data controller of personal information collected through this website.

02Information we collect

We only collect what we actually need. In practice that falls into three groups.

Information you give us

  • Contact details — your name, email address, phone number and company name when you submit an enquiry form or book a call.
  • Project information — whatever you choose to tell us about your business, goals, budget range or current website.
  • Correspondence — emails, messages and call notes exchanged with us.

Information collected automatically

  • Technical data — IP address, browser type and version, device type, operating system and screen size.
  • Usage data — pages viewed, time on page, referring source, links clicked and general navigation patterns.
  • Approximate location — country or region derived from your IP address. We do not collect precise GPS location.

Information we do not collect

We do not knowingly collect special category data — health information, racial or ethnic origin, political opinions, religious beliefs, biometric data or sexual orientation. Please don't send us that information through our forms. We also don't collect payment card details on this website; any invoicing is handled separately through a payment provider.

03How we collect it

  • Directly from you — when you complete a form, book a strategy call, email us, or speak with us during a project.
  • Automatically — through cookies and analytics tools as you browse the site (see section 6).
  • From third parties — for example if you contact us through a social platform such as LinkedIn, or if a client or partner refers you to us.

04How we use it

We use your information for the following purposes, and nothing beyond them without asking you first:

  • To respond to your enquiry — answering questions, preparing a proposal and scheduling a call.
  • To deliver our services — carrying out the work agreed in a project, and communicating with you throughout it.
  • To improve the website — understanding which pages are useful, where people leave, and what's slow or broken.
  • To send relevant updates — only where you've asked for them or where we have a legitimate business relationship, and always with an unsubscribe option.
  • To meet legal and accounting obligations — invoicing, tax records and responding to lawful requests.
  • To protect the site — detecting spam submissions, abuse and security threats.

We do not sell your personal information. We don't rent it, trade it, or share it with advertisers or data brokers. We've never done this and we're not planning to.

05Legal basis for processing

If you're in the UK or European Economic Area, we rely on the following lawful bases under GDPR:

  • Consent — for non-essential cookies and for marketing emails. You can withdraw consent at any time.
  • Contract — where processing is necessary to provide the services you've engaged us for.
  • Legitimate interests — to respond to enquiries, run and secure our website, and understand how it performs. We balance these against your rights, and you can object at any time.
  • Legal obligation — where we must retain records for tax, accounting or regulatory reasons.

06Cookies & analytics

Cookies are small text files stored on your device. We use them in two ways.

Essential cookies

Required for the site to function — remembering form state, security and load balancing. These can't be switched off without breaking the site.

Analytics cookies

We use Google Analytics 4 to understand how visitors use the site in aggregate — which pages get read, where people arrive from, and where they drop off. This data is pseudonymised and we don't use it to identify you personally. We also use Google Search Console, which reports on search performance and does not set cookies on your device.

You can block or delete cookies in your browser settings at any time. Doing so won't stop you using the site, though some things may behave differently. You can also opt out of Google Analytics using Google's browser opt-out add-on.

Fonts on this site are served by Google Fonts, which may process your IP address in order to deliver the font files.

07Who we share it with

We share personal information only where necessary, and only with parties who are contractually required to protect it:

  • Hosting and infrastructure providers — who store the website and its data.
  • Analytics providers — Google, as described in section 6.
  • Email and CRM tools — used to receive, route and respond to your enquiry.
  • Professional advisers — accountants and legal advisers, where required.
  • Authorities — where we are legally obliged to disclose information, or to protect our rights or the safety of others.

If our business is ever sold or merged, personal information may transfer as part of that transaction. You'd be notified and this policy would continue to apply until you were told otherwise.

08How long we keep it

  • Enquiries that don't become projects — kept for up to 24 months, then deleted.
  • Client project records — kept for the duration of the engagement and for up to 7 years afterwards, to meet contractual, tax and accounting obligations.
  • Analytics data — retained according to the settings in Google Analytics 4, typically 14 months.
  • Marketing contacts — until you unsubscribe or ask to be removed.

When information is no longer needed, we delete it or irreversibly anonymise it.

09How we protect it

We use HTTPS encryption across the entire site, keep software and plugins patched, restrict account access to people who need it, and use strong authentication on the systems that hold personal data.

We should be honest with you about the limits of that: no method of transmission or storage over the internet is completely secure. We take security seriously and we work to industry standards, but we can't guarantee absolute security. If a breach ever occurred that affected your rights, we would notify you and the relevant supervisory authority as required by law.

10Your rights

Depending on where you live, you have some or all of the following rights over your personal information. We'll honour all of them regardless of location, because it's simpler and fairer that way.

To exercise any of these, email info@scalixdigital.com. We'll respond within 30 days. We won't charge you for a request or treat you differently for making one.

California residents: under the CCPA/CPRA you have the right to know what personal information is collected, to request deletion, and to opt out of the sale or sharing of personal information. As stated above, we do not sell or share personal information for cross-context behavioural advertising, so there is nothing to opt out of — but the right to know and to delete applies, and you can exercise it at the same email address.

11International transfers

We work with clients internationally, and some of our service providers — including hosting and analytics — process data outside your country of residence, including in the United States.

Where personal data is transferred out of the UK or EEA, we rely on appropriate safeguards such as Standard Contractual Clauses or an adequacy decision, so your information continues to receive an equivalent level of protection.

12Children's privacy

Our services are aimed at businesses, and this website is not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.

13Third-party links

Our website links to client projects, social profiles and other external sites. Once you follow a link away from scalixdigital.com, this policy no longer applies. We don't control those sites and aren't responsible for their content or privacy practices — we'd encourage you to read their policies.

14Client project data

When we build or manage a website for a client, we may act as a data processor on that client's behalf — for example when we set up analytics, configure enquiry forms or connect a CRM.

In those cases the client remains the data controller and their own privacy policy governs how end-user data is handled. We process that data only on the client's documented instructions, and we do not use it for our own purposes. Where required, we'll enter into a separate data processing agreement.

Analytics, hosting and search accounts we set up during a project are created in the client's name. Access and historical data stay with the client if the engagement ends.

15Changes to this policy

We may update this policy as our services, tools or legal obligations change. The revision date at the top of this page always reflects the current version. If we make a change that materially affects how we handle your personal information, we'll take reasonable steps to notify you — by email where we hold your address, or through a notice on the site.

We'd encourage you to check this page occasionally. Continuing to use the site after changes are published means you accept the updated policy.
