AI & Automation
Stop losing leads
to your own inbox.
Lead routing, CRM handoffs, automated follow-up and AI-assisted workflows — built around the tools you already use, so nothing waits for someone to notice it.
The Theory
Speed of reply beats
quality of pitch.
Most businesses don't have a lead problem. They have a response problem. Enquiries arrive, land in an inbox, and sit there while someone finishes what they were doing. By the time anyone replies, the prospect has already spoken to two competitors.
Automation fixes that gap — not by replacing your people, but by removing the wait between an action and its response. The enquiry gets acknowledged, logged, assigned and flagged in seconds, so your team joins the conversation instead of starting it cold.
Automate the boring, not the human
The parts worth automating are the repetitive ones with no judgement in them: copying details between systems, sending confirmations, chasing follow-ups, assigning owners, generating reports. The parts you keep human are the ones people actually value — advice, diagnosis, negotiation and relationships.
Where AI genuinely helps
AI is useful for drafting, summarising, classifying and extracting. Summarising a long enquiry, drafting a first-pass reply, categorising incoming requests, pulling structured data out of messy text. It's poor at anything requiring accountability, and we don't put it there. A human always approves what goes out under your name.
Build on what you already run
The most common failure in automation projects is migrating everything to a new platform nobody asked for. We work with your existing stack wherever it's workable, and only recommend replacing something when the cost of keeping it clearly exceeds the cost of moving.
If it can't be measured, it isn't done
Every workflow we build has visibility — you can see what fired, what didn't, and where a lead currently sits. Silent automation that nobody monitors becomes silent failure the first time something breaks.
Immediate
Every enquiry acknowledged in seconds, at any hour, without anyone being on duty.
Traceable
Every lead logged with source, timestamp and owner. Nothing depends on memory.
Supervised
AI drafts and classifies. A person approves anything that goes out under your name.
Practical
Built on the tools you already pay for, not a migration nobody asked for.
The order we work in
Map → fix the leak → automate → supervise → measure. Automating a broken process just makes it fail faster and more consistently.
The Difference
Same enquiry,
two very different outcomes.
- 1Form submits to a shared inbox nobody owns.
- 2Notification buried under forty other emails.
- 3Someone spots it hours later, maybe the next morning.
- 4Details retyped into a spreadsheet, or not recorded at all.
- 5Follow-up depends on whether anyone remembers.
- 6No record of where the lead came from, so spend can't be judged.
- 1Enquiry captured, validated and timestamped instantly.
- 2Scored on service, urgency and fit before anyone reads it.
- 3Pushed into the CRM with an owner already assigned.
- 4Prospect gets a confirmation with clear next steps in seconds.
- 5Team alerted with full context, no digging required.
- 6Source attributed, so you know which channel actually earns.

The Response Funnel
Five places a lead
quietly disappears.
Marketing gets blamed for poor results that are actually leaks further down. Each of these stages loses enquiries you already paid to generate.
Captured
Did it arrive intact?Acknowledged
Did they hear back at once?Assigned
Does someone own it?Followed up
Did anyone chase it?Recorded
Can you see what happened? The leak nobody checks
Broken forms, failed email delivery and spam filters silently swallow enquiries. Most businesses never find out, because a lead that vanishes leaves no trace. We validate delivery and log every submission independently of email.
The first five minutes
A prospect who hears nothing assumes you're busy, closed, or uninterested — and keeps searching. An instant, specific acknowledgement holds their attention until a human can reply properly.
Ending shared-inbox limbo
When everyone can see a lead, nobody owns it. Rules-based assignment gives every enquiry a named owner the moment it lands, with escalation if it isn't touched.
Where most revenue is lost
Very few enquiries convert on the first exchange, and very few businesses follow up more than once. Sequences handle the persistence, and stop the moment a real conversation starts.
Knowing what actually worked
Without attribution and outcome data, every budget decision is guesswork. Recording source, response time and result turns marketing spend into something you can judge.
How It Runs
Five phases,
two to four weeks.
Map
We trace how an enquiry travels today, end to end, and mark every place it can stall.
Week 1Design
The target workflow agreed on paper — triggers, conditions, owners and stop rules.
Week 1–2Build
Integrations connected, sequences written, CRM configured and test data pushed through.
Week 2–3Test
Live-fire testing on real submissions, including the failure cases nobody plans for.
Week 3–4Monitor
Failure alerts, response-time reporting, and refinement once real volume arrives.
OngoingHandover matters here: you get documentation of every workflow, access to every tool in your own accounts, and a walkthrough so your team can adjust things without calling us.
Case Study
Lead generation,
where seconds decide it.
Two builds where the entire business model depends on an enquiry being captured, routed and answered before a competitor gets there.
Volume without visibility
Both businesses generate enquiries across multiple channels — forms, calls and campaigns. The difficulty wasn't generating interest; it was making sure every enquiry was captured, attributed to its source, and in front of the right person fast enough to matter.
One pipeline, no shared inbox
We consolidated every channel into a single tracked flow with rules for qualification and ownership, so nothing depends on someone noticing an email — and every lead carries its source with it from the first second.
What we delivered
- ✓Funnel-first site structures built for capture
- ✓Form and call tracking with source attribution
- ✓Rules-based routing and owner assignment
- ✓Instant acknowledgement to the enquirer
- ✓Internal alerts with full lead context
- ✓Conversion events wired into analytics
Nothing waiting to be noticed
Enquiries from every channel now land in one place, acknowledged immediately and assigned to an owner without manual handling. Source attribution means spend can be judged on what it actually returned rather than on impressions.
The Stack
The platforms we build on,
and what each one is for.
No single tool does everything well. We pick per job — and every account is created in your name, so the workflows stay yours whether or not we stay involved.
Our default where a business wants CRM, pipelines, SMS, email and booking in one place rather than five subscriptions.
- ›Pipeline build — stages that mirror how you actually sell, not a default template.
- ›Missed-call text-back — an unanswered call triggers an instant SMS so the lead isn't lost.
- ›Booking + reminders — calendar links with automated confirmation and no-show recovery.
- ›Review requests — post-job SMS asking for a Google review, which feeds local SEO.
Where the job is simple, the apps are mainstream and reliability matters more than cost per task. Fastest to build and easiest for your team to read.
- ›Form → CRM — website submissions creating records with fields mapped cleanly.
- ›Lead alerts — Slack or SMS notification with full enquiry context attached.
- ›Spreadsheet logging — a parallel record so nothing depends on one platform.
- ›Invoice triggers — deal marked won creates the invoice draft automatically.
When a workflow needs real branching, loops or data manipulation. Visual, powerful, and far cheaper than Zapier at high volume.
- ›Lead scoring & routing — different owners by service, region or budget band.
- ›Data cleanup — normalising phone formats, names and addresses before they hit the CRM.
- ›Multi-step approvals — a request routed, held, escalated and logged.
- ›Bulk sync jobs — scheduled reconciliation between two systems.
Our pick when data can't sit on a third-party platform, or when task volume makes per-operation pricing painful. Self-hostable and fully controllable.
- ›Private data workflows — healthcare and claims flows kept inside your own infrastructure.
- ›Custom API work — connecting systems that have no off-the-shelf integration.
- ›High-volume processing — thousands of runs without per-task billing.
- ›AI pipelines — chained model calls with your own keys and retention rules.
Used inside workflows for the language work — never as an unsupervised decision-maker, and never with sensitive detail it doesn't need.
- ›Enquiry summarising — a long message reduced to what the team needs to act.
- ›Intent classification — tagging and routing by what the enquiry is actually about.
- ›Draft replies — a first pass prepared for a human to approve and send.
- ›Data extraction — pulling structured fields out of unstructured text or documents.
Where most enquiries actually start. Capture is configured so a submission is recorded independently of email delivery.
- ›Database-backed forms — entries stored on-site so nothing is lost to a spam filter.
- ›Webhook triggers — every submission pushed straight into the workflow.
- ›Hidden attribution — source, campaign and landing page captured with the lead.
- ›Spam protection — filtering that blocks bots without blocking customers.
For businesses where the phone is the primary channel — clinics, urgent care, home services — calls are tracked with the same rigour as forms.
- ›Dynamic number insertion — attributing a call to the campaign that produced it.
- ›Missed-call recovery — automatic SMS follow-up within seconds.
- ›Call outcome logging — results recorded against the lead record.
- ›After-hours routing — different behaviour outside opening times.
Unglamorous and enormously useful. A parallel record your team can read without logging into anything specialised.
- ›Lead log — an append-only sheet as a backup source of truth.
- ›Scheduled reports — assembled and emailed on a fixed cadence.
- ›Calendar automation — booking, rescheduling and reminder handling.
- ›Document generation — proposals and intake forms filled from lead data.
Notifications land where your team already works, with enough context that nobody has to open three tabs to respond.
- ›New lead alerts — name, service, source and urgency in one message.
- ›Escalation pings — an untouched lead chased automatically after a set time.
- ›Failure alarms — you hear it from the system, not from a customer.
- ›Daily digests — a morning summary of what came in overnight.
A real workflow, end to end
Here's how those tools combine on a typical healthcare client — from a form submission on the website to a booked appointment, with no manual step in between.
Every platform is set up under your ownership and billing. If we part ways, nothing switches off and nothing needs rebuilding.
Each workflow is written up in plain language — what triggers it, what it does, and what to check first when something looks wrong.
Integrations do fail — APIs change and tokens expire. Every workflow reports its own failures so you find out before a customer does.
FAQ
The honest
answers.
Only where you want it to, and only for acknowledgements you've approved in advance. AI drafts, summarises and classifies behind the scenes — a person reviews anything substantive before it goes out under your name. We don't build systems that let a model improvise with your reputation.
Usually not. We start by working with what you already run — if it can do the job, moving is just cost and disruption. We'd only recommend a change where the current tool genuinely blocks what you're trying to do, and we'd explain exactly why before you spend anything.
Automation is scoped inside Scale ($5,000+) and Authority ($10,000+) builds, or quoted standalone for an existing site. Ongoing refinement runs through a Growth Retainer from $1,500 a month. Third-party tool subscriptions are billed by those providers directly and stay in your name.
Every workflow we build includes failure alerting, so you find out from us or from the system rather than from a customer complaint. Integrations do break — platforms change APIs and update policies. Monitoring is part of a retainer, or you can handle it yourself using the documentation we hand over.
No, and we'd be cautious of anyone selling it that way. What it removes is the copying, chasing and retyping that fills a day without adding value. The judgement work — advising, diagnosing, negotiating, building relationships — is exactly what you want your people spending their time on instead.
You do. Every tool is set up in your name, every workflow is documented in plain language, and you keep full access whether or not you continue working with us. There's no proprietary layer you'd have to rebuild if you left.
We only route the data a workflow genuinely needs, and we're careful about what gets sent to third-party AI services — particularly for healthcare and claims clients, where we keep sensitive detail out of external processing entirely. Where we handle data on your behalf we act as a processor under your instructions, and we'll sign a data processing agreement where required.
Find out where your leads are leaking.
We'll map how an enquiry travels through your business today and show you every point it can stall — no obligation, and the map is yours either way.
